The ECVIM-CA Congress is registered as an independent foundation (Chamber of Commerce number 30156306) and is officially based in De Bilt (province Utrecht), the Netherlands. The congress involves members of the various European Veterinary Societies. These societies pay a fee to participate in the Congress.
The congress is organised by the Executive Committee (EC) that executes the daily business, a Local Organizing Committee (LOC) that organises things at a local level and a Scientific Committee (SC) responsible for the scientific programme. The scientific committee consists of a representative of each participating society, and is co-ordinated by a representative of the ECVIM-CA board. The congress organisation has it own professional congress organisation: PCO based in Maastricht, The Netherlands.
The EC consists of 7 members: Dr. Dominique Peeters (Chairman), Prof. dr. Mike Herrtage (Vice-Chairman), Dr. Xavier Roura (Chairman-elect & Sponsors), Dr. Hans Kooistra (Treasurer), Dr. Bernhard Gerber (Programme) and Dr. Alex German (Abstracts and Scientific content) and Dr. Paul Mandigers (past-chairman, responsible for edition of proceedings).
The EC has the following tasks: Organisation of the annual ECVIM-CA congress, publication of the Newsletter and maintain the congress website. They deal with sponsors, arrange all bookings, organise all subscriptions, deal with all speakers, make the programme and deal with all societies (each society proposes its own scientific programme). In essence they do everything except for which is done at a local level.

The Scientific Committee (SC) consists of one representative from each society joining the congress (e.g. ESVIM, ESVC, ESVONC, ESVE, ESVCP, ESFM, ESCG, ESCH, ESVNU, VBPS, EVECCS, ESVCN, any other new Society), the EC and the Newsletter Editor of the ECVIM-CA.
The LOC has several important tasks: find a suitable congress venue, assist the ECVIM-CA Examination Committee to find a suitable venue for the ECVIM-CA examinations, organise the congress dinner, set up socials on a local level, assist sponsors to find a venue for sponsor functions.
